Responsibilities

Ability to perform a variety of tasks as directed by the manager or supervisor. Must be a self-starter and have a certain degree of creativity and latitude. This position works under general supervision.

  • Provide secretarial, administrative and clerical support to the Maintenance department

  • Must have good data entry skills and operational knowledge of office equipment

  • Manage phone system and organize messages. Respond to customer inquiries and redirect all necessary calls

  • Assist in arranging and coordinating meetings, prepare agendas and required material

  • Prepare various weekly, monthly and yearly reports as required

  • Responsible for typing – letters, memos, charts, correspondence both internal and external

  • Summarize, monitor and distribute monthly budget to actual reports for management review

  • Create Power Point Presentations for meetings as required

  • Order office supplies, process and track invoices and expenditures

  • Provide ad hoc analysis as needed using diver, Excel, etc.

  • This position will be supporting the Supervisor/Dept. Manager in maintaining their data in their work order database.

  • Performs a variety of tasks as assigned by manager

Qualifications

  • High School Diploma or GED equivalency

  • MS Excel – Intermediate. Must be proficient enough to calculate formulas, sort data, create graphs, etc.

  • AS400 – Basic knowledge preferred

  • Internet – Needs to be familiar with the Internet and how to locate and download information or pictures.

  • MS Power Point – Needs experience in creating presentations

  • Lotus Notes

  • General knowledge of accounting (JDE a plus)

  • Ability to learn and become proficient with other department specific data bases

  • 2-5 years of experience in the field or in a related area

  • Performing diverse administrative support duties
